2. Project Consultation and Onboarding
After receiving payment or confirming a project, Astrix Visual will typically contact the client within one (1) to three (3) business days.
During this process, we may:
Schedule a consultation meeting
Discuss project objectives
Review creative direction
Define workflow and milestones
Request necessary project assets
Confirm timelines and deliverables
Clients may be required to provide materials such as:
Logos
Product images
Brand guidelines
Scripts
References
Marketing materials
Other project-related assets
Production may not begin until sufficient information has been received.
3. Client Responsibilities
The client agrees to:
Provide accurate and complete information
Supply all required project materials
Respond to communications in a timely manner
Review and approve concepts, drafts, and revisions
Ensure submitted materials do not infringe on third-party rights
Cooperate throughout the project lifecycle
The client remains solely responsible for obtaining all rights, licenses, permissions, and approvals required for materials submitted to Astrix Visual.
4. Payments Website Orders
Services purchased directly through the Astrix Visual website generally require full payment at the time of purchase unless otherwise stated.
Website orders are processed only after payment has been successfully received.
Custom Quotations and Enterprise Projects
For custom projects, enterprise engagements, large-scale productions, or projects requiring a tailored approach, Astrix Visual may offer customized payment arrangements.
Payment structures may include:
Full upfront payment
Milestone-based payments
Partial deposits
Scheduled payment plans
Other mutually agreed arrangements
Payment terms for custom quotations will be discussed and agreed upon directly between Astrix Visual and the client before project commencement.
Astrix Visual reserves the right to determine whether a project qualifies for a customized payment arrangement.
Failure to complete agreed payments may result in project suspension, delayed delivery, withholding of final files, or termination of services.
5. Revisions
Unless otherwise stated in writing, projects include up to two (2) rounds of revisions.
Revision requests must remain within the scope and creative direction originally agreed upon by both parties.
Additional revisions, substantial changes, new concepts, or requests outside the approved project scope may incur additional fees.
Astrix Visual reserves the right to determine whether a revision request falls within the original scope of work.
6. Project Timelines
Project timelines are estimates and may vary depending on:
Project complexity
Client responsiveness
Asset delivery
Revision requests
Technical requirements
Third-party dependencies
While Astrix Visual strives to meet estimated deadlines, delivery dates are not guaranteed unless specifically stated in a separate written agreement.
7. Client Delays and Inactivity
Clients are responsible for providing timely feedback, approvals, and required project materials.
If a client becomes unresponsive before the initial consultation and remains unreachable for more than fourteen (14) days, Astrix Visual may, at its sole discretion, consider a refund request. Approved refunds may be subject to deductions for transaction fees, payment processing fees, currency conversion fees, and other non-recoverable charges.
If production has already started and the client becomes unresponsive, the project may be placed on hold until communication resumes.
No refunds will be issued once production has commenced.
Timeline commitments may be adjusted following extended periods of client inactivity.
8. Intellectual Property Rights
The client retains ownership of all original materials supplied to Astrix Visual.
Upon full payment of all applicable fees, the client shall receive rights to use the final approved deliverables for their intended business, advertising, promotional, and marketing purposes unless otherwise agreed in writing.
Astrix Visual retains ownership of:
Preliminary concepts
Draft materials
Unused creative assets
Internal production files
Proprietary templates
Production workflows
Systems, methods, and processes used to create deliverables
No ownership rights shall transfer until all outstanding payments have been paid in full.
9. Portfolio and Promotional Rights
Unless otherwise agreed in writing, Astrix Visual reserves the right to display completed work, project excerpts, screenshots, visuals, animations, videos, and related content for:
Portfolio purposes
Website showcases
Marketing campaigns
Social media promotion
Business presentations
Advertising and promotional activities
Clients requiring confidentiality arrangements should communicate such requirements before project commencement.
10. Third-Party Services
Projects may involve third-party software, platforms, hosting providers, AI tools, advertising networks, cloud services, or external vendors.
Astrix Visual is not responsible for interruptions, policy changes, restrictions, outages, account suspensions, algorithm updates, or actions taken by third-party providers.
11. No Guarantee of Results
Astrix Visual provides creative and production services but does not guarantee specific business outcomes.
We do not guarantee:
Sales performance
Advertising results
Revenue increases
Lead generation outcomes
Search engine rankings
Social media growth
Conversion rates
Return on investment
Project performance depends on numerous factors beyond our control.
12. Limitation of Liability
To the maximum extent permitted by applicable law, Astrix Visual shall not be liable for any indirect, incidental, consequential, special, or punitive damages arising from the use of our services.
This includes but is not limited to:
Loss of profits
Loss of revenue
Loss of business opportunities
Loss of data
Business interruption
Reputational damage
In all cases, Astrix Visual’s total liability shall not exceed the amount paid by the client for the specific project giving rise to the claim.
13. Refunds and Cancellations
Refunds and cancellations are governed by Astrix Visual’s Cancellation & Refund Policy.
By purchasing any service, the client acknowledges and agrees to that policy.
Once production, design, animation, editing, rendering, content creation, development, or other project work has begun, payments become non-refundable.
14. Termination of Services
Astrix Visual reserves the right to suspend or terminate services if:
Payments remain outstanding
Fraudulent activity is suspected
False information is provided
The client engages in abusive, threatening, unlawful, or inappropriate conduct
Continued cooperation becomes impractical
Any work completed prior to termination remains payable.
15. Website Usage
Users agree not to:
Attempt unauthorized access to our systems
Introduce malicious code or software
Disrupt website functionality
Violate applicable laws or regulations
Use our website for fraudulent purposes
Astrix Visual reserves the right to restrict or terminate access where misuse is detected.
